How to register a birth

It always feels like the easy bit. The calf is on the ground, the cow is licking her clean, you've dipped the navel and you're already thinking about the colostrum bottle. Five fields on a form feels like paperwork — and on a busy night, paperwork is the first thing to slide. Don't let it. The two minutes you spend recording the calving as it happens is the cheapest improvement you can make to your whole calf operation.

This is how to record a birth in Calfmate properly — every field, why it earns its keep, and the small things that catch people out.

• Dashboard → Record calving (top of the screen, always visible).
• Calves → Record calving button at the top of the calves list.

Field by field — what to fill, and why

Calving details (the shared part)

1. Birth type. Single, Twin, or Abnormal. Pick Twin and Calfmate adds a second calf panel underneath. "Abnormal" is a flag for unusual presentations — Calfmate still records one calf.
2. Calving time. Now / 15 min ago / 30 min ago / Custom. Custom lets you backdate if you're recording an hour later (you'll be glad of it during busy spring calving).
3. Calving difficulty (1 Easy → 4 Caesarean/vet). Optional, but the data piles up usefully — if you ever want to look at calving ease by sire, this is the field that makes it possible.
4. Dam · Sire · Breed. Every field you leave blank now is a question you'll get asked later. Two minutes today, a lot less squinting at notebooks in two years.
5. Pen. Pick where the calf is going. "— Unassigned —" is fine if you don't know yet — you can move her later from the Pens screen.
6. Navel dipped. Tick once you've dipped the cord in 7% iodine. If you forget to tick, Calfmate flashes a friendly reminder after save. (Don't ignore that reminder.)

Per calf (one panel for single births, two for twins)

• Sex — Female (default), Male, Unknown.
• Temporary ID (neck band number) — e.g. "A12". Use this if you haven't tagged her yet.
• Calf ID — leave blank if you'll tag later. Calfmate generates a provisional ID like NEW-260627-01 and keeps nudging you to assign a real one.
• Birth weight (kg). Optional. Validated 15–120 kg to catch typos. A bad birth weight ruins ADG forever — measure if you can.
• Photo (JPG/PNG/WebP, up to 5 MB). Optional. Lovely to have for unusual markings or the calf you suspect will end up famous.
• Notes. Free text. Anything you'd say to the next person about her.

What happens after you tap save

Three habits worth picking up

Record the moment you've finished navel-dipping

It's the natural pause point between physical work and admin. The calf is dry, the cow is calm, and a photo turns out better when there's not still amnion stuck to her ear.

Use Temporary ID generously

If you don't have a permanent tag yet, type the neck band number in Temporary ID and assign the real tag from the passport later. Calfmate keeps reminding you with an "Assign permanent ear tag" banner so it doesn't slip.

Trust the scales, not your eye

The 15–120 kg validation catches obvious typos (80 vs 8.0) but it doesn't catch a soft guess. If you're going to record a birth weight, measure it — heart-girth tape is fine if you don't have a scale.

Honesty corner — what the form doesn't do (yet)

• The calving event doesn't auto-create a follow-up task ("dehorn at 8 weeks"). Those come from Tasks → Protocols — see the task protocols guide.
• "Abnormal" birth type is a label only — there's no special clinical workflow attached.
• Photos failing to upload don't block the save. The calf is still recorded; the photo just isn't.

The three fields that matter most

If you only ever fill in three fields per calf, make them: birth date, sex, dam. Everything else can be backfilled. Those three can't, because the further you get from the calving, the harder they are to remember accurately.
